How to Set Up Call Forwarding for a Small Business

Call forwarding is the boring feature that saves the next missed job. Someone dials the number on your door. The front desk is already on a call, or the owner is in the van. Without a forward, that ring dies. With a forward, it lands on another phone, another app, or a voicemail box you will actually check.

This walkthrough is for US small businesses setting that path on XI. It uses published products only: call forwarding, call routing, calling, virtual receptionist, and SMS. List prices stay on pricing: $17 Starter, $20 Business, $23 Business Plus per user / 30 days.

Forwarding is the fallback, not the whole phone system

Routing answers “who should ring first.” Forwarding answers “where does the call go if that fails.” If you only forward everything to a cell, you still have a personal-phone problem: nights, vacations, and a number you cannot hand to the next hire. Put the published DID on XI first, then add forwards as the safety net.

XI call forwarding lists busy forwarding, no-answer forwarding, remote forwarding, and international forwarding. Transfer (warm or cold) and do-not-disturb sit on the same product family. Remote forwarding is the “I am not in the building” case. No-answer is the “it rang and nobody picked up” case. Busy is the “the line is already in a conversation” case.

International forwarding is on the subpage list if you need a call to follow a traveling owner. Treat it as a configured destination, not a reason to skip a US-hours voicemail box. The FAQ still describes XI as a US small-business cloud phone system.

Set the number before you set the forward

Claim a local or toll-free DID, or port the number you already print. The FAQ says forwarding can keep the line reachable while a port completes — that is the correct use during a carrier change, not a permanent architecture. Getting a business number without a landline covers the DID itself.

Install the mobile and desktop apps and sign in. XI calling runs on iOS, Android, macOS, Windows, and the web. A forward to “any number” is useful when a device is off. A forward should not be the only way the business can answer on a normal Tuesday.

If you are comparing consumer call-forwarding apps, XI vs Google Voice and XI vs Ooma are the published side-by-sides. The setup order is the same on XI: number, seats, hours, then fallback.

A forwarding map that matches a real week

Business hours: ring the people who should answer, using sequential or simultaneous ring on call routing. If they are busy, busy-forward to the next person or to a queue you actually staff. If nobody answers, no-answer-forward to voicemail — Business at $20/user/30 days includes voicemail transcripts and a personalized greeting — or to a teammate who is on call.

After hours: time-of-day routing should change the path so you are not forwarding dinner-time spam to a personal cell. A greeting plus voicemail is enough for many shops. A virtual receptionist menu is the next step; on the published cards it is included on Scale and not on Starter, Business, or Business Plus. Ask sales if you need it on a public plan.

Remote days: remote forwarding follows the person who is out of the building without reprinting the number. Do-not-disturb silences a device without deleting the missed-call record. Transfer is for the call you did pick up and need to hand off. Those are different buttons. Do not use one as a substitute for the other.

Pair forwarding with SMS and a note

A forwarded call that nobody logs is still a leak. XI CRM keeps contacts, notes, and history next to the thread. After you return a missed call, a short SMS on the same number (“we saw you called at 2:10, we are available at 4”) closes the loop. Inbound SMS is $5/30 days. A2P 10DLC registration is required for application-to-person texting.

Recording is on Business, or $1/user/30 days as an add-on. If you record forwarded or transferred calls, follow the consent rules that apply to your state. This guide will not invent a legal shortcut.

What it costs — there is no forwarding-only SKU

Starter is $17 per user / 30 days with calling, one DID, unlimited US/CA calls, and apps. Business is $20. Business Plus is $23. Extra DIDs start at $1. You buy a phone system that includes forwarding, not a separate forwarding product. Checkout coupons are not public list prices.

Shared numbers, virtual receptionist, and API access are Scale items on the published cards. If several people must look like one line, talk to sales. Until then, simultaneous ring plus no-answer forwarding is the small-team pattern.

Checklist before you print the number again

Number on XI. Seats for everyone who answers. Business-hours routing. Busy forward. No-answer forward. After-hours greeting or menu. A test call from a phone that is not in the building. Only then update Google, the website, and the invoice footer.

Related pages: no-answer forward, busy forwarding, remote forwarding, the FAQ, and small-business phone systems 2026. Forwarding is a path. It is not a substitute for answering on purpose.

Test with a phone that is not signed into XI. Call the published number during hours and confirm who rings. Call again with that person on an active call to check busy forwarding. Let a call ring out to check no-answer. After hours, confirm the greeting, not a personal cell. If any hop lands on the wrong device, fix the route before you buy another tool.

Owners sometimes stack three forwards: XI to a cell, cell to a spouse, spouse to voicemail. Each hop adds delay and a place for the call to drop. Prefer one published DID, a short ring group, and a single no-answer destination. If you need a spoken menu because callers cannot self-sort, that is the virtual receptionist conversation with sales, not another forward.

Keep a written map: hours, who rings, busy destination, no-answer destination, after-hours destination. When someone is hired or on vacation, change the map in XI instead of forwarding the company number to yet another personal cell. That is the whole point of putting forwarding on a virtual phone system instead of the carrier’s star-code from ten years ago.

    FAQ

What kinds of call forwarding does XI offer?
The call-forwarding product lists busy forwarding, no-answer forwarding, remote forwarding, and international forwarding, plus call transfer and do-not-disturb. Use them to send the published number to any destination when a line is busy, unanswered, or away.
Is call forwarding the same as call routing?
No. Routing decides who rings first — team, schedule, sequential or simultaneous ring. Forwarding is the fallback when that path does not complete. Most small businesses need both.
Do I need a landline to forward a business number?
No. XI is a cloud VoIP system. You claim or port a business DID and forward from the account. Desk phones are not required. Forwarding also keeps a line reachable while a number port completes.
How much does XI cost if I mainly need forwarding?
Published US plans are $17 Starter, $20 Business, and $23 Business Plus per user / 30 days. Starter includes calling, one number, and unlimited US/CA calls. There is no separate forwarding-only SKU.
